Please carefully read these terms and conditions before using any HaloVisa’s services. The word “We” used in the paragraphs below refer to HaloVisa.vn

When using our services, We understand that you have automatically agreed to the following terms and conditions without any further comments. 

    • You need to obey the current laws and regulations. If you do not agree to these terms or are not satisfied with our services, please contact us through email: [email protected]. 
    • Responsible for all complaints, fees, legal responsibilities or damages from violating these terms and conditions.
    • Guarantee to not commit any crime when using our website.

Be aware we can make changes to the terms and conditions without informing you.

1. HALOVISA SERVICES​

1.1. Visa Services​

1.1.1 Visa on Arrival (VOA)​

Visa on arrival is the type of visa that will be granted to foreigners when they land after taking a flight. You can apply for this type of Visa at entry gates at the airport instead of receiving it at any Embassy/Consulate like before. For example: If you want to go to Vietnam for a vacation, you receive this type of visa at any international airports like Noi Bai, Tan Son Nhat etc…

Steps to get a VOA:

HaloVisa provides services for getting a VOA with 3 simple steps:

  • Step 1: Submit private information(Names, Phones numbers, Entry date, passports, emails…) on the Visa on arrival form on HaloVisa website and pay using a credit card/paypal/Western Union.
  • Step 2: Receive immigration papers through email.
  • Step 3: Get your visa stamped at the airport. After landing at the airport, go to the VOA station, show the email, your passport, pay the fees and have it stamped to finish the entry process.

HaloVisa provides an automated system to fill your data for you, reduce chances of error to 0, making sure you do not make any mistakes.

Be aware: When submitting your information, you confirm that the information provided is true and legal according to Vietnam Immigration Laws. Any mistake will make you responsible according to the immigration laws.

Confirmation documents:

Confirmation document is a paper issued by the Vietnam immigration department, allowing foreigners to receive a Vietnam visa when entering from an international airport. Tourists can not get their visa stamped and finish the entry process without it.

Notice: you MUST have the confirmation paper for your visa before boarding the flight to Vietnam.

Processing time:

After successful payment, HaloVisa will send you a “payment confirmation” to your email and will begin the process of applying for your visa, you will receive updates through our “processing notice” emails.

Time to process: Depending on the type of service you have chosen, standard (2 working days), urgent (1 working days), or Super urgent (2-4 working hours).

Be aware: 

  • HaloVisa works from 8am to 17:30 pm (GMT+7) from Monday to Friday.
  • The Vietnam immigration department begins to process requests from 8am to 10:30am and 13:30pm to 15:00pm, from Monday to Friday depending on the Vietnam National holiday.

Vietnam’s Department of Immigration reserved the right to delay or refuse services without notification. In this case HaloVisa will not be responsible for any delay, cancellation or financial damages due to delay or denial of entry. Be aware that we will not refund any fees in this situation.

If there is the need for more information or precise confirmation, the time it takes to process your paper will take longer and we will notify you through email.

Fees:

The fees you paid for HaloVisa services in helping you get a VOA include the fees needed to pay for Visa application and service fee and visa stamping fee. Specifically:

  • Service fee: You need to pay this fee so HaloVisa can get the Visa approval letter from Vietnam’s Department of Immigration. This fee must be paid in full before we begin the process. After paying this fee, we will send an email “Notice of successful payment”. We will not be held responsible for any problems from unsuccessful payment. All incurred fees from the transaction through the banks, financial organizations throughout the transaction will be paid by the customer, no matter which payment option you choose.
  • Visa stamping fee: This is a mandatory fee, Vietnam immigration department requires this to finish your application and will be stamped on your original passport. This fee must be paid in cash and in dollars (USD) directly to the customs officer in charge of stamping your visa when your plane lands in Vietnam. HaloVisa will not be responsible for any changes in the exchange rate if you paid with other currencies.

1.1.2. Apply For An eVisa​

eVisa Vietnam is a type of visa issued by the Vietnam government, through Vietnam’s Department of Immigration, for tourists to apply for online, before entering Vietnam.

eVisa procedure

Applying for an eVisa could be a challenge for you, especially filling out forms, uploading photos and putting in your personal information. Mistakes could happen and the wait time for your approval could be long, tiring and stressful.

To save time and effort, choose HaloVisa now to apply for your eVisa. This process only has 2 steps:

  • Supply us with your registration information and pay the fees, which include your email, name, phone number, passport photo, time and address of your stay in Vietnam and your entry date.

eVisa process time:

You can receive your eVisa after 1 to 4 working days, we also have the urgent option that will get it done in 1 hour, including weekend.

eVisa required Fees

You need to pay the required fees when applying for an eVisa which already included all the visa processing fees and visa stamping fee:

  • Visa processing fee: pay this fee to receive an approval letter from the Immigration Department, this must be paid in full before the processing procedures.
  • Visa stamping fee: This is a mandatory fee, required to pay toward the Immigration Department to finish your visa application and get it stamped.

1.1.3 Visa Extension Service​

Extending existing visas so tourists can continue to stay in Vietnam and don’t need to leave the country and reenter. During the extension process, the new visa will be issued with an updated length of stay.

This works for single entry visas only, which means if the customer after extending the visa decides to leave Vietnam you will have to get another visa to reentry. Therefore the customer needs to plan their travel plans to comply with immigration regulations.

1.1.4. Refund And Return Policy​

HaloVisa will issue a full refund if:

  • HaloVisa refused to process your paper for numerous reasons: Missing information, not having enough time to process and other anomalies. In these circumstances we will issue a full refund.
  • Cancelling your application before service fee payment: You can cancel with no fees or charges incurred. To do this just email us asking for a cancellation before we send you a “process report”. In this circumstance we will issue a full refund.
  • In case your application is denied by the Vietnam Immigration Department: we will also issue a full refund.

But under these circumstance we will NOT issue refund:

  • Asking for cancellation AFTER receiving our “process report”: for whatever reasons, we are sorry but we can not issue the refund because the process is automatic and can not be reversed.
  • When the Vietnam Immigration Department issued your Visa Approval Letter and sent it to your email or your registered phone number.
  • You did not contact us through email or our hotline when you did not receive Visa Approval Letter and you received our “process report” confirming the approval.
  • Refusing to accept the Approval Letter because of an error on your end, we will not issue a refund. Please confirm all your information is correct when receiving the approval letter.
  • We will not be held responsible for any delay or loss due to technical difficulties, wrong email address or wrong information supplied by the customer.
  • Cancellation, delay or changes of the trip to Vietnam, new length of stay, day of arrival and leave does not match the new plan etc… we will not issue a refund. In these circumstances, you will have to make a new visa application with the fees we have provided.

In case there is any wrong doing from HaloVisa’s side during your approval process, we will get you a new Approval letter without any extra fees and will issue a full refund for the customer. In addition we will waive any fees for your next 01 month visa application (no fees) or we will give you our airport departure service for free when you leave Vietnam.

The refund can take up to 15-20 working days, depending on the process of banks or other financial organizations. Any extra fees incurred during the refund will be paid by the customer. HaloVisa will only pay for the fees related to the refund process from the HaloVisa side.

1.2 Airport Services (Fasttrack+ Airport Pickup)​

HaloVisa will issue a full refund if:

  • HaloVisa refused to process your paper for numerous reasons: Missing information, not having enough time to process and other anomalies. In these circumstances we will issue a full refund.
  • Cancelling your application before service fee payment: You can cancel with no fees or charges incurred. To do this just email us asking for a cancellation before we send you a “process report”. In this circumstance we will issue a full refund.
  • In case your application is denied by the Vietnam Immigration Department: we will also issue a full refund.

But under these circumstance we will NOT issue refund:

  • Asking for cancellation AFTER receiving our “process report”: for whatever reasons, we are sorry but we can not issue the refund because the process is automatic and can not be reversed.

1.2.1. Fast Track Service​

Fast Track

Fast Track is a paid service that helps and prioritises customers after landing at the airport. This service includes security check and customs clearance assistance, fast visa stamping and luggage pick up. Fast Track is idea for customers who don’t want to waste time at the airport and have a more pleasurable experience.

With Fast Track of HaloVisa you are supported by a professional airport assistant who will help carry out all necessary procedures quickly and effortlessly. This assistant will travel along you and assist with dealing with usual problems, from security check in to customs and luggage pick up. To ensure you have the smoothest experience when entering Vietnam.

Apply for Fast Track

  • Step 1: Fill in the application form, include your phone number, name, email address and travel information.
  • Step 2: Confirm the application and pay all the fees through Credit card/OnePay/PayPal/Western Union…
  • Step 3:  A “Confirmation Letter” will be sent to your email address.

Fast Track fee:

The fee you paid when applying for Fast Track does not include visa stamping fee and visa portrait photo fee (for VOA users). These fees must be paid upfront before we process your application.

1.2.2 Airport Pickup​

Airport pickup service (APU) provides you with a private vehicle to bring the customer from the airport to their intended destination. This service saves the customer time and brings comfort when travelling. This is an ideal service for tourists looking for a smooth and quick experience.

To apply for APU you need to do these 3 steps:

  • Step 1: Fill out the forms with your name, phone number, email.
  • Step 2: Choose your services, date of entry, entry airport and the destination of your choosing after leaving the airport.
  • Step 3: Payment confirmation and pay the fees through a credit card or Onepay or Paypal or Western Union.

Airport Pick Up fee:

The fee you paid when applying for Fast Track does not include visa stamping fee and visa portrait photo fee (for VOA users). These fees must be paid upfront before we process your application.

1.2.3. Refund And Return Policy​

HaloVisa will issue a full refund if:

  • Our driver/staff failed to meet you at the airport. Please contact us through our hotline at: +84.935.61.8888 and follow our instructions but our staff does not appear when you land. We will issue a full refund.
  • Cancelling your application before service fee payment: You can cancel with no fees or charges incurred. To do this just email us asking for a cancellation at least 72 hours before you land in Vietnam. In this circumstance we will issue a full refund.
  • Customer did not receive a reply/respond from our hotline after 2 hours since the time you landed and our staff did not show up.

But under these circumstance we will NOT issue refund:

  • Late cancellation: If you arrive in less than 72 hours, your cancellation isn’t entitled to a refund.
  • Flight information changes: For any reason after you have applied to use our service and you have to change your flight or landing at a different airport. Please send us an email notifying us about the changes at least 36 hours before your flight lands. Failure to do so and we will not issue a refund.
  • Changes or delays because of the weather: We will not accept any changes if it is less than 36 hours before your landing. In case your flight is delayed or cancelled please contact us through our hotline at least 6 hours before the landing time in order to make changes. We will not issue a refund if you fail to do so.
  • In case you land and failed to find our staff and did not contact us for more than 2 hours after landing. In this situation we will not issue a refund.

If there are any problems, we will provide you a free Fast Track service for your next entry or exit to Vietnam.

3. DISCLAIMER​

In reality, the process of getting you a visa has some unforeseen risks outside of HaloVisa’s control, we can not guarantee that you will always receive your confirmation and report emails. These include: failing to send the emails, incorrect email addresses, emails getting moved to the spam folder. If you did not receive these emails, please contact our Customer support department at least 2 days before your entry into Vietnam. If we do not receive your email or contact through our hotline, we will not be held responsible for any damages or delay, including refund request.

The customer has a responsibility to thoroughly check the information for mistakes in your approval letter. If there are any please contact us immediately for repair. If the error is from our end, we will provide you with a new approval letter for free. But if the error is from your end then you will have to pay the fee to apply for another letter. This process can take up to 1-2 working days so please check the information immediately when you receive the letter.

Visa approval letters are issued for many people in the same letter. If you wish to have your own personal letter, please contact HaloVisawith an email requesting a separate letter at: [email protected]. We will not be responsible for mistakes with personal information of individuals in a group letter.

4. PRIVACY POLICY​

Please read our Privacy policy thoroughly, when using our website you automatically accept our policies, terms and conditions. Our privacy policy is included.

Media: When using our website and services, you allow HaloVisa to contact you through email or phone number for all purposes, including sending marketing materials and advertisement.

You are responsible for safekeeping your own User ID and password on our website. You are also responsible for all actions taken under your UserID with or without your knowledge, please notify us immediately if there are any unauthorised access with your UserID. Please read our Privacy Policy to understand your responsibility in sending information.

5. THIS AGREEMENT​

These terms and conditions, along with our Privacy policy, will replace all and any previous deals, announcements or presentations involving us.

Non compliant to this agreement is not seen as forfeiting or not exercising this agreement. All changes, waiver must be made in writing and have signatures from both sides. This agreement is explained and exercised according to Vietnam regulations.
